Embrace Retreat Attendee Agreement
Milestone Doulas – Embrace Retreat Attendee Agreement
This Attendee Agreement (“Agreement”) is entered into between Milestone Doulas (“we,” “our,” or “us”) and the client enrolled in an Embrace retreat (“you” or “your”). Please review all information in this document carefully. If you have any questions or need clarification, contact us before signing.
1. Your Retreat and What’s Included
Embrace is a group retreat for expecting couples. Each reservation is for one couple (you and your partner or support person) and includes:
The weekend’s planned group sessions and activities. The agenda is subject to change.
A private bedroom for each couple. Most retreats also include a private bathroom, though this feature is not guaranteed.
Meals, as described in the retreat agenda, as well as a small selection of snacks and beverages. Meal times and menus may vary from retreat to retreat.
A retreat welcome gift
12 months of access to our self-paced online childbirth course
Embrace Signature reservations may include additional features. Travel to and from the retreat, parking and any other incidental costs are not included.
We reserve the right to adjust schedules, sessions, guest professionals, the venue and other program details at any time.
2. Guest Responsibilities
To help us provide a safe, supportive and meaningful weekend for every couple, you agree to the following:
Communication and Registration
Book your welcome call, complete your intake form, accept this Agreement and make payments by their due dates. Your reservation may be forfeited if we do not receive all required documents or payments.
Provide accurate contact information and an emergency contact. You agree that we may use this information to contact you with retreat details and updates, as described in our Privacy Policy.
Health and Decision-Making
Understand that our support is non-medical in nature. We do not provide medical advice, perform medical procedures or offer clinical diagnoses, and nothing at the retreat replaces the advice of your own care provider.
Take full responsibility for your own decisions. Your personal, medical and travel decisions remain yours.
Share any food allergies, sensitivities or dietary needs on your intake form. We plan meals with pregnancy in mind and take your needs into account, but you are responsible for what you choose to eat and drink. We can’t account for every dietary recommendation, and we can’t guarantee an allergen-free environment.
Safety and Respect
Treat other guests, hosts, guest professionals and venue staff with kindness and respect. We reserve the right to ask a guest to leave at any point, without refund, if their behavior puts anyone’s safety or comfort at risk.
Keep other couples’ stories, birth plans and personal details confidential. What’s shared at the retreat stays at the retreat.
Follow the venue’s house rules, including no smoking or vaping indoors, quiet hours and check-out times. You will be held personally responsible for any damage you cause to the venue or to others’ property.
Embrace is a private event for our enrolled couples and invited guest experts. You may not invite anyone who isn’t enrolled to the retreat location or activities. Children and pets cannot attend.
3. Payments and Cancellations
Fees and Payment
Fees are determined by the retreat and package you select. A $250 deposit reserves your place and is applied toward your total. If you decide during your welcome call that Embrace isn’t the right fit, we’ll refund your deposit in full. Once you confirm your enrollment, the deposit is non-refundable.
The full balance is due 30 days before the retreat.
Payment plans are available directly through Milestone Doulas. We’ll work with you to set up an installment schedule.
Payment plans are also available through PayPal and Klarna. Each provider’s own terms govern its plan.
If your balance isn’t paid by the due date, we may release your place.
Cancellations and Refunds
Cancellations and refund requests must be submitted in writing by email to sbethel@milestonedoulas.org. Refunds are calculated on the amount paid beyond the $250 non-refundable deposit.
More than 30 days before the retreat: full refund of investment beyond the deposit.
15 to 30 days before the retreat: 50% refund beyond the deposit.
Fewer than 15 days before the retreat, including no-shows: no refund.
Online course: Course access is provided only after your enrollment is confirmed. Once provided, it remains available for the full 12 months, even if you later cancel or do not attend.
Transfers: You may transfer your place to another couple before the retreat. Transfer requests must be made in writing and are subject to approval.
Non-refundable amounts: A portion of any non-refundable amounts may be eligible for support services or a future retreat. Contact your retreat hosts for options.
Refunds on PayPal and Klarna plans: Refunds are issued back through that provider and applied to your plan under its terms.
If we cancel: If we need to cancel or postpone the retreat for any reason, including severe weather, a natural disaster or a public health order, we will refund the amount paid beyond the $250 non-refundable deposit. We are not responsible for travel or other related costs.
4. Confidentiality and Photos
All personal information you share is treated with respect and confidentiality, as described in our Privacy Policy. Your intake answers and health information are used only to plan and run your retreat, and are shared only with those who need them to care for you.
We take photos during the retreat and may share them on our website and social media. If you’d prefer not to appear in shared photos, let us know in writing before the retreat and we’ll honor your request.
5. Unexpected Circumstances
Pregnancy, birth and postpartum are unpredictable. Outcomes, emotional experiences and medical interventions are beyond our control, and the education and guidance shared at the retreat are not medical advice. Attending the retreat also involves risks we can’t control, including travel, physical activity, injury, illness, early labor and the need for medical care while you’re away from home. You choose to travel and take part voluntarily, and you accept full responsibility for that choice.
By signing, you release Milestone Doulas, its owners, hosts, guest professionals and contractors from any claims arising from your participation, including undesired outcomes, except those caused by gross negligence or willful misconduct.
6. Entire Agreement
This Agreement represents our mutual understanding of the retreat experience and services to be provided. Your enrollment details, such as your retreat dates, package and payment schedule, are outlined separately. Any changes to this Agreement must be made in writing and signed by both parties.
